Venue Policies

 

Alcohol & beverages:

Texas has a “host liability law,” which means if you host an event and one of your guests becomes intoxicated and causes damage or injury on their way home, the host (i.e. – the bride and groom) may be held legally liable for the damage. In addition; the venue and bartending staff may hold liability as well. The following policies and guidelines are meant to protect the ‘host’ (ie; Bride & Groom) and the venue from liability concerning over-consumption of alcoholic beverages.

The 2K Reserve requires that a couple hire only Texas Alcoholic Beverage Commission (TABC) certified bartenders. These professional bartenders are trained how to prevent guests from drinking too much and how to politely cut someone off. They take their jobs, and careers, seriously. 2K Reserve has a staff of professionally trained, TABC certified bartenders that will ensure laws are followed while still ensuring a great time for all.

The 2K Reserve is a BYO (Bring Your Own) facility. This means that the host (ie; Bride & Groom) provide the beverages to be served during the event. Based upon much experience in serving our clients; our beverage policies are as follows:

1. All beverages, other than tea, water, coffee, must be served from the bar by bartending staff during cocktail hour and the reception. Only beverages provided by the host for the event shall be served to guests. Guests may NOT bring their own bottles to serve themselves or to be served by bartending staff. No beverages, of any kind, may be brought in by guests. All beverages served must be commercially available and sealed upon arrival. No beverages that are premixed by clients or guests shall be permitted.

3. No outside cups or containers may be brought in by guests. Beverages shall be served in containers provided by the venue or the host. (flasks, gift bottles and ‘Yeti’ style cups are not permitted to be utilized during the event). All beverages shall be poured into cups from behind the bar. No cans, bottles or beverage containers shall be passed and/or allowed in the reception area.

4. Guests may not have beverages in vehicles or any place of their own and return to serve themselves. Any alcoholic beverages found on site, not provided by the host, not served by certified bartending staff shall be confiscated and disposed of by venue management and/or security personnel. Any guests found breaking these policies shall be requested to leave the premises immediately, without warning. In addition, if guests or attendees do proceed to consume beverages in the parking area, and dispose of the containers by tossing on the ground, requiring further clean-up; this will result in immediate deposit of the Security Deposit check provided by the client. It is always best to let your guests know these rules as we are unable to determine and/or control the level of intoxication in any party that decides to break these rules.

5. Bartending staff shall serve one beverage per person. There shall be no ‘deliveries’ to other guests or multiple beverages poured for one party.

6. During event prep and make-ready; bridal party MAY have beverages in the bridal and grooms suites. These beverages must be comprised only of the same beverages provided by host to be served from the bar with the exception of liquor. There shall be no liquor (ie; whiskey, tequila, vodka, etc) consumed on premises prior to TABC bartending staff arrival. Suites MAY have champagne, even if not being served at the bar. In addition to non-liquor items provided by the bar, wedding party MAY have canned/bottled beverages including items such as beer or the ever-popular White Claw. It is recommended that you limit the amount of beverages in make-ready areas/suites to ensure bridal party members are not intoxicated prior to the ceremony. While it does not happen often, there have been multiple instances of bridal party members becoming overly intoxicated and/or belligerent. If this scenario arises, the offending party, even if a member of the bridal party, will not be permitted to be a part of the ceremony and may be removed from premises.

Once TABC bartending staff and security arrive on site, they will conduct a sweep of the facility and all alcoholic beverages will be removed from suites and placed behind the bar for safe keeping. If these items are not comprised of service items from the bar menu, they will be kept in safe keeping until the end of the event and will not be served. Please allow this process to take place and do not go place bottles in vehicles or flasks to be kept in pockets as it may lead to breaking of policies, removal of offending persons and/or interrupting your event.

7. During the reception; beverages and cocktails must remain in sight of TABC bartending staff or security officers. No beverages are permitted outside of the ballroom and/or patio area.

8. Shot Policy:  Shots shall not be provided by bartending staff on any occasion nor are they permitted on premises. No ‘straight liquor’ shall be poured or served by bartending staff.

9. Responsible Party:  At end of reception, there should be one responsible party named that will take possession of all alcoholic beverages. Bartending staff and/or security will oversee the loading of beverages in vehicle of this person. Please ensure an ice chest is brought to transfer all beverages from our coolers to yours.

10. All alcohol service must be discontinued 30 minutes prior to the end of your function (Last Call is made 15 minutes prior). Please note we reserve the right to refuse service to intoxicated guests at the discretion of the server or bartender and may request proof of legal drinking age from guests. Any drinking guests must have a valid ID showing they are of legal age. We also reserve the right to discontinue or temporarily close bar services.

11. Minors:  Minors shall not be served or consume alcoholic beverages at any time with no exceptions. If any minor is caught with a beverage in hand or consuming any alcoholic beverage, they will be immediately removed from the event. If any guest or attendee is seen delivering alcoholic beverages to an underage guest, they shall be immediately removed, along with the underage person

12. There are times when bartending staff will make the decision to cut off service to a person or persons due to intoxication. This is the main duty of any licensed bartender, to ensure those consuming beverages are not over-served and overly intoxicated. We must always ensure this is followed strictly as liability falls on the host (bride & groom) along with the venue if these persons leave and cause an incident due to over-consumption. If a person has been cut off and another guest is found ‘delivering’ beverages to the cut off party; both parties shall be removed from the event without exception.

Our TABC certified bartenders make the following suggestions:

Brides and grooms: Please let your guests know that alcohol can only be served from the bar. No personal stock is allowed unless it is served by us. If your friend – you know the one who always brings a flask to football games, birthday parties and picnics – is invited, best to give him a strict warning before he ruins your day.

Guests: This is NOT your event. The bride and groom have been planning this day for months. Your behavior could lead to liability. Do you really want to turn a dream night into a nightmare for everyone?

Aggression

Aggressive, offensive and crude behavior will not be permitted from anyone on premises. If any person makes any threatening gestures, moves or verbally threatens, harasses any member of venue staff, a guest, or attendee; they shall be immediately banned/removed from the premises without exception. This applies to all persons up to and including members of the bridal party and/or family.

Firearms & Weapons

The 2K Reserve does not permit the concealed or openly carrying of firearms on premises. No firearms, of any kind, are permitted on premises during events except for those by hired security/peace officers.

Exits

As we are flame free, sparklers are not permitted. The only tossed item that is permitted is Ecofetti brand biodegradable confetti. Any mess left behind on the ground during couples’ exits must be cleaned prior to departure.

Vendors

Remember that all vendors must be approved by 2K Reserve management. While they are few, there are those no longer welcome at the venue due to behavior and/or lack of services to our clients.

Coordinators

Wedding coordinators are not needed at the 2K Reserve as we do coordinate your wedding day by creating your timeline, seeing in your guests and vendors, cueing the party down the aisle, managing the timeline with vendors etc. If you have already hired one, they will be required to work within 2K Reserve policies with our team managing the ceremony & reception.
